An open key cabinet with numbered fobs in a letting agency back office

Inspections · For Letting Agents

Send the list. We run the diary.

Most branches have a spreadsheet of overdue inspections and no time to work it. Hand it over and it becomes a round: batched, booked, walked and reported, with the next date already set.

How the Round Works

Four steps. One of them is yours.

You send a list. Everything after that is ours, and it is written down so the branch can see where every property is in the cycle.

01

Send the list

Your managed properties with each one's last visit date and the interval you want. A spreadsheet is fine; so is an email. Tenant contact details if you want us to arrange access.

02

We build the round

Batched by area so tenants get sensible appointment windows and nobody drives across the county twice in a week. You get the proposed diary back within two working days.

03

Keys from the branch

Collected and returned on your key log the same day, signed both ways. Or we arrange access with the tenant directly and copy you in, so there is a written trail of the notice given.

04

Reports as they land

Anything flagged is on your desk the same day by email. The full report follows the next working day, never a bundle at month end. Every report carries the next visit date, so the branch always knows what is due.

The Standing Instruction · One Page

Six things, agreed once.

A one-page standing instruction covers the whole portfolio. Thirty days’ notice either way, no minimum term, and nothing in it you have not read here first.

The interval

Three, four or six months per property, or per landlord where a policy or a mortgage condition sets it. We hold the interval and chase the date; you do not.

The notice

Twenty-four hours in writing to every tenant, from us if you want, in your branch's name if you prefer. Refusals and rearrangements are recorded, not worked around.

The key log

One signature out, one signature in, same day. We never hold branch keys overnight without your say-so, and we photograph the key set against the log on collection.

The report format

The same layout for every property on your list: flagged items on page one, then room by room against the check-in inventory, then the next date. Your landlords learn to read it once.

The escalation

Anything in the flagged tier is on your desk the same day by email, not buried in the report. Damp, mould, alarms, signs of subletting, or a tenant who has not answered twice.

The additions

New instructions join the next round by reply. Check-ins, check-outs and, from launch, EPC renewals can be added to the same visit list, so the branch deals with one diary.

The Rate Card · Agents

?Portfolio Rounds · Questions

Asked & answered.

Five or more in the same month gets the round rate of £65 plus VAT per visit. They do not have to be in the same town; we batch by area across the month. A branch with forty managed properties on a six-month interval is a round of six or seven a month.

Either. Most branches hand it over: we give 24 hours' written notice in your name or ours, log the reply, and record any refusal rather than working around it. If you would rather keep tenant contact in-house, send us the confirmed slots and we turn up.

Collected from the branch against your key log, photographed against the log, and returned the same day with a signature. We do not hold keys overnight unless you ask us to for an early start, and then it is written down.

Flagged items first, on page one, with photographs. Then room by room against the check-in inventory, with a grade and a photograph per line. Then the next visit date. The same layout on every property, so your landlords read it once and understand it every time. There is a specimen on the sample reports page.

A one-page standing instruction: the interval, the notice arrangement, the key arrangement, the rate, and thirty days' notice either way. No minimum term. Most agents send it back the same day.

Yes, and it is the point of running one diary. A check-in on the day the keys go over, a check-out against the same inventory, and the mid-terms between, all from the same clerk with the same numbering, so the check-out compares row for row.

Send us the list.

Addresses, last visit dates, the interval you want. The proposed round comes back within two working days.
