Testing a ceiling-mounted smoke alarm during a mid-term property inspection

Inspection Reports · Lincoln & Lincolnshire

Looked at, on time.

Mid-term tenancy inspections, HMO visits, commercial interims and vacant property rounds. A short visit on a set interval, with anything flagged emailed the same day and the report the next working day, so a property is never eighteen months since anyone last looked.

The Interval · How the Round Works

A property that never goes unseen.

An inspection is not really a document, it is a rhythm. The problem a visit at month four would have caught arrives as a bill at month eighteen.

Every report we send carries the date of the next visit. That is the whole product: a property that gets looked at on time, and a file that is never out of date when someone asks for it.

On Every Visit

What gets recorded.

  • Condition, room by room, against the check-in inventory or schedule
  • Obvious maintenance and disrepair: drips, seals, sticking windows, loose fittings
  • Damp, mould and condensation — where it is, how much, and whether the fans are in use
  • Smoke and carbon monoxide alarms: present, and tested on the day
  • Signs of additional occupants, pets or subletting where the agreement does not allow them
  • Garden, exterior, bins and outbuildings
  • Meter readings, where the branch or owner asks for them

Send the list. We run the diary.

Most branches have a spreadsheet of overdue inspections and no time to work it. Hand it over and it becomes a round: batched, booked, walked and reported, at £65 + VAT per visit on five properties or more.

01

Send the list

Your managed properties with each one's last visit date and the interval you want. A spreadsheet is fine; so is an email.

02

We build the round

Batched by area so tenants get sensible appointment windows and nobody drives across the county twice in a week.

03

Reports as they land

Anything flagged is emailed the same day. The full report follows the next working day, one at a time, rather than a bundle at the end of the month.

04

The next date is set

Every report carries the next visit date, so the branch always knows what is due and when.

Damp and mould found

Recorded and flagged the same day. The diagnosis is a separate, instrumented visit, and The Damp & Mould Man does that one.

Every three to six months is the usual interval. Three months for a new tenancy, an HMO or a property with a history; six months for a settled tenancy. Check your landlord insurance and any buy-to-let mortgage conditions, because both commonly specify a periodic inspection as a condition of cover.

At least 24 hours in writing, and the visit must be at a reasonable time of day. Most tenancy agreements say the same or more. Notice is not the same as consent: a tenant can refuse or rearrange, and we record refusals rather than letting ourselves in.

A mid-term inspection is £75 plus VAT for a single visit, or £65 plus VAT per visit on a round of five or more properties. HMOs start at £95 plus VAT because rooms are recorded individually. Commercial interim inspections start at £250 plus VAT, and vacant property visits from £75 plus VAT per visit on a contracted interval.

It is recorded, photographed and flagged at the top of the report, and the branch or landlord is told the same day. Working out the cause is a different job: our sister brand The Damp & Mould Man does the diagnostic visit and the written report.

That is what it is written for. Every visit is dated and photographed, and the log runs continuously so the interval your policy requires can be evidenced. Send us the policy wording and we will build the round to it rather than to a default.

Yes. We work directly for self-managing landlords and for owners of empty property, as well as for agents. You do not need to be a managing agent to book a round.

No. An inspection records the condition of a property at a date: what is there, what state it is in, photographed. It is not a structural opinion, a valuation or a fire risk assessment. We record; other people decide.
